Gowling WLG is seeking an experienced Administrative Support Specialist to join our team.

About the Role

This fixed-term contract role involves supporting the Real Estate Group with day-to-day tasks, including filing, searches, communication, and deeds management. The successful candidate will have experience in customer service or administration and be proficient in using case management systems.

Key Responsibilities:
  • Filing: Log documents onto our case management system within required timescales;
  • Searches: Use the Land Registry online portal to obtain documents, carry out searches of land and utilities through other providers and utility companies and local authorities;
  • Communication: By telephone, standard letter, email, in person or other communication media with clients, agents and third parties as well as with other team members;
  • Deeds management: Logging, recording and maintaining records of deeds received and dispatched with the archiving team;
  • Finance: Actioning and processing matter closures, transferring WIP and any other financial requests for the Group;
  • Portal management: Scanning, uploading, downloading and eFiling of deeds and documents, correspondence and other communications via online portals, deal rooms or data rooms;
