Administrative Support Officer

About the Role
We are seeking an experienced administrative professional to join our Operations Team as an Administrative Support Officer. The successful candidate will provide administrative support to the Chief Operating Officer and senior operational leadership team, ensuring the smooth day-to-day operation of the team.
Key Responsibilities
- Diary management and arrangement of appointments/meetings for the COO and senior operational leadership team.
- Taking and distributing meeting minutes and action summaries and reports for committee and departmental meetings.
- Administrative support for recruitment activities.
- Organisation of Team events/meetings for the Operations team.
- Co-ordination of team inductions for new starters/visitors.
- Arranging visas and booking travel both nationally and internationally.
- Submitting and/or approving expenses claims for science and operations teams.
- Keeping the on-site rota up to date with staff changes.
- Support for onsite events/meetings – ensuring meeting rooms are set up/booking visitors in with reception etc.
- Ad-hoc administrative assistance.
Requirements
- Friendly, can-do attitude.
- Confident in building good working relationships with individuals at all levels, including senior teams, board members, leading industry figures.
- Commitment to delivering high-level service.
- Excellent written communication skills.
- Strong technology skills to manage work (Excel, Word, PowerPoint).
- Ability to manage multiple tasks and commitments well and successfully meet deadlines.
- Confidential – managing sensitive data appropriately.
- Good sense of humour and work well in a small team.
