Administrative Support Specialist

Job Summary
The University of Birmingham is seeking an Administrative Support Specialist to join the Worklink team. The successful candidate will be responsible for supporting the development and maintenance of a student casual work service, working to place students across various University departments and roles on campus.
Main Responsibilities
- Conduct data entry tasks, including processing casual assignments, ending assignments, and conducting DBS checks.
- Respond to queries from students, hiring managers, and other stakeholders, providing professional and customer-focused advice and guidance.
- Collaborate with the Worklink team to ensure recruitment and payroll deadlines are met.
- Ensure compliance with employment legislation and internal University policies.
- Liaise with stakeholders, including hiring managers, HR, Payroll, and the IT Service Desk.
- Attend events to promote the Worklink service to students.
- Contribute to regular team meetings, one-to-ones, and performance reviews to ensure own skills are aligned to team, department, and University requirements.
- Provide support and cover for other Worklink team members during demanding workloads and absence.
- Manage recruitment campaigns, including advertising jobs, shortlisting, and issuing casual work offers.
Requirements
- Experience in a recruitment role.
- Strong customer service focus and proactive approach to resolving queries.
- Excellent communication skills and ability to adapt to a diverse range of customers.
- Ability to work independently and manage own workload, including reacting to ever-changing priorities within a fast-paced environment.
- Excellent IT skills, including Microsoft Office, and ability to learn new software and processes.
- Resilience when working under pressure.
- Excellent attention to detail.
- GCSEs to a minimum of grade C/4 in English and Mathematics grade C minimum (or equivalent level 2 qualification).
- Able and willing to work flexibly.
