Job Summary

The role of Receptionist Critical Care Coordinator is crucial to the smooth operation of the Adult Critical Care unit at Nottingham University Hospitals NHS Trusts. As a key member of the multi-disciplinary team, you will be responsible for providing administrative support, ensuring the efficient flow of patient information, and maintaining accurate records.

Main Responsibilities
  • Manage patient administrative systems, ensuring accurate and up-to-date information.
  • Process admissions, transfers, deaths, and discharges, updating patient information as necessary.
  • Monitor bed state and record patient activity, ensuring timely communication with the admissions team.
  • Track case notes, ensuring patient movements, transfers, or discharges are recorded accurately.
  • Log on to the NHS Strategic Tracing Service to obtain patient information, including GP details and dates of birth.
  • File results slips, investigation reports, and nursing documentation, maintaining patient confidentiality.
  • Communicate with GP surgeries to provide patient information, as required.
  • Organize and dispatch necessary documentation relative to patient deaths.
  • Monitor patient test results and record them in patient charts.
  • Liaise with medical secretaries, theatre staff, and shift charges to coordinate elective patient bookings and cancellations.
  • Photocopy medical notes for discharges to other hospitals, as necessary.
  • Collate and return case notes and X-rays to file, as required.
  • Maintain stock of medical and nursing documentation, ordering new supplies or photocopying templates as necessary.
Person Specification
  • Essential:
    • GCSE/O-Level or equivalent standard in English and Maths.
    • Computer literacy, including typing skills and experience using Microsoft Office programs.
  • Desirable:
    • Previous clerical experience.
  • Experience:
    • Customer service skills.
    • Ability to work under pressure and use initiative.
  • Communication & relationships:
    • Excellent communication skills.
    • Friendly and approachable demeanor.
  • Analytical and Judgement Skill:
    • Understanding of confidentiality.
    • Ability to exercise judgement and seek advice when dealing with patient enquiries.
  • Planning and organisation:
    • Calm and well-organized approach.
    • Ability to prioritize tasks.
  • Physical skills:
    • Fitness to perform duties in accordance with the job description.
    • Ability to manually handle and maneuver equipment/loads.
  • Other requirements:
    • Demonstrate a flexible approach to working Monday to Sunday, with daytime hours, and potential for cross-site cover and different shift patterns.
    • Ability to cope with daily exposure to distressing sights, sounds, and situations.
