About the Role:

We are seeking an experienced Operational Contracts Administrator to join our team at South West Water. As a key member of our Operational Contract Management team, you will provide administrative support for all contracts, including lead renewal and replacement programs, to ensure effective day-to-day delivery of tasks.

Key Responsibilities:

  • Manage the raising of purchase requisitions for all Operational managed contracts and assist with any queries.
  • Enter and manage all receipts relating to goods and services received for all Operational contract purchase orders and submit order amendments as required.
  • Raise ad-hoc requisitions to support the Operations functions in a timely basis.
  • Review and monitor all invoices and backing data related to Operational contracts to ensure data accuracy and payment.
  • Provide detailed feedback on data accuracy for performance meetings and carry out spot audits as required.
  • Raise work orders and projects codes as required.
  • Take minutes of meetings as and when required.
  • Support the maintenance of a team mailbox, ensuring emails are well organized and efficiently filled.
  • Enter contractual KPI data and maintain key registers for all operational managed contracts.
  • Liaise with contractors to ensure key business deadlines are met.
  • Run routine and ad-hoc reports and distribute as required.
  • Manage and support the Operational contract systems to ensure data is loaded and maintained.
  • Support the Operational Contracts Team with any general administrative duties as required.
  • Liaise with relevant departments in SWW to provide support needed and maintain effective communication.

Requirements:

  • A good level of GSCE qualifications.
  • Proven experience of working in a busy office environment.
  • Proven track record of working to deadlines.
  • Previous experience working on own initiative and/or working as part of a team.
  • Good organizational skills, self-motivation, and the ability to prioritize workload.
  • Excellent communication skills, both oral and written, with an exceptional telephone manner.
  • Good, solid administration skills, including knowledge/experience of computerized file management/ICT skills.
  • Excellent working knowledge of Microsoft Office applications, particularly Excel.
  • Ability to be an effective and flexible member of a team.
  • Willingness to learn new tasks and take on new challenges.
