About the Role

We are seeking a highly organized and detail-oriented Commercial Administrator to join our team at Bilfinger UK Limited. As a key member of our operations team, you will play a crucial role in supporting our commercial activities and ensuring the smooth execution of our projects.

Key Responsibilities
  1. Timesheet Management: Collect and verify timesheets from site supervision, ensuring accuracy and completeness.
  2. Payroll Administration: Input information from timesheets into our payroll database (M-power) and maintain accurate records.
  3. Supply Chain Support: Provide purchasing assistance for various contracts and projects, including obtaining quotations and placing orders.
  4. SAP Administration: Perform general SAP administration duties, including raising requisitions, managing the GRN process, and maintaining records.
  5. Document Management: Organize hired plant and equipment documents, including assisting in the on-going hire process.
  6. Attendance Tracking: Update the POB tracker to record attendance levels, reflecting holidays and other absences.
  7. Administrative Support: Provide general administrative support, including answering phones and sending forms to HR/Payroll.
  8. Trade Assessment and Validation: Process trade assessment forms and validate employee qualifications using the on-boarding tracker.
Commercial Duties
  1. Estimate Production: Assist in the production of estimates for Maintenance, Projects, or Turnaround works.
  2. Commercial System Maintenance: Assist the Commercial Manager in reviewing and maintaining current commercial systems and reports.
  3. Commercial Reporting: Update commercial reports and issue them to the Commercial Manager, Site Managers, and Project Managers.
  4. Variation Management: Assist in the production, monitoring, and submission of variations to original budgets.
  5. Application for Payments: Assist in the preparation of Application For Payments (AFP's) for various projects.
  6. Key Performance Indicators: Assist with the preparation of Key Performance Indicator reports.
  7. Commercial Feedback and Support: Provide commercial feedback and support to the Commercial Manager and operational management.
Requirements
  1. Contract Administration Experience: Previous experience in contract administration or coordination within the Petrochemical/Oil & Gas industry.
  2. Effective Communication: Strong communication skills, with the ability to work effectively with various stakeholders.
  3. Computer Literacy: Proficiency in Microsoft Office, including Excel, Word, and PowerPoint.
  4. Attitudes and Abilities: Demonstrate attitudes and abilities that support our company's core values.
  5. Education: GCSE Grade A-C or equivalent.
  6. Qualifications: Aspiring to fulfill a suitable Engineering/Commercial qualification.
