Committee Operations Assistant

Main purpose of the role:

Deliver high-quality committee and governance support to clients and internal stakeholders, ensuring the smooth operation of client boards and committee meetings.

Key Responsibilities:
  1. Deliver committee operations services that meet customer expectations, including:
  • Client and Syndicate Boards / Management Committees
  • Client Underwriting, Reserving, and Investment Committees
  • Asta client-focused governance forums
  • Asta Employee Resource Groups for Diversity, Equality, and Inclusion
  • Asta operations department meetings
Carry out preparatory tasks for committee meetings, including:
  • Scheduling meetings and booking meeting rooms
  • Preparing and issuing agendas and meeting papers
  • Requesting and chasing meeting papers
  • Creating meeting packs in line with agreed quality standards
Facilitate the smooth operation of each client governance meeting by:
  • Attending in-person meetings as required
  • Ensuring the room is set up appropriately and technology works
  • Recording meetings and taking minutes for ad hoc meetings
Maintain meeting attendance records and liaise with the Company Secretarial team to align agendas, papers, and scheduling.Provide other administrative support as required.

Requirements: Strong organizational and communication skills, ability to work independently and as part of a team, and a high level of attention to detail.
