Job Title: Committee Coordination Specialist (Industry Groups Manager)

We are seeking a meticulous Committee Coordination Specialist (internally referred to as Industry Groups Manager) to oversee secretariat responsibilities for various committees and subgroups. The ideal candidate will be tasked with organizing and summarizing essential industry meetings, in addition to managing meeting and committee logistics for RSSB members, clients, and governance groups.

Key Responsibilities:
  • Serve as the primary liaison for committees and subgroups, coordinating arrangements and communications (both virtual and in-person).
  • Develop effective relationships with internal and external stakeholders to facilitate committee operations.
  • Plan and coordinate meetings, including scheduling, venue reservations, sending invitations, and arranging catering services.
  • Draft agendas in collaboration with the Chair and Technical Experts, compiling necessary documents for discussions.
  • Prepare precise meeting minutes in a timely manner, documenting attendance, discussions, decisions, and action items.
  • Communicate updates and respond to inquiries from stakeholders.
  • Organize and maintain records of committee activities.
  • Assist in the preparation and submission of annual reports.
  • Address outstanding actions related to committee business between meetings.
  • Maintain accurate membership records and oversee elections.
  • Achieve key performance indicators for the distribution of meeting documentation.
  • Occasional travel within Great Britain or Europe may be necessary.
Qualifications:
  • Minimum typing speed of 40 wpm.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple responsibilities and prioritize effectively.
  • Experience in cultivating relationships with diverse stakeholders.
  • Customer service skills with a strong commitment to excellence.
