As a key member of our operations department, you will provide exceptional support to our clients and internal stakeholders by ensuring the smooth operation of committee meetings and governance processes.

Key Responsibilities
  • Committee Operations
    • Deliver high-quality committee operations services that meet customer expectations, including scheduling meetings, preparing agendas, and coordinating meeting materials.
    • Ensure the timely and accurate distribution of meeting papers and minutes to relevant stakeholders.
  • Meeting Preparation
    • Schedule meetings, book meeting rooms, and arrange refreshments as needed.
    • Update the company's central committee schedule and communicate changes to relevant stakeholders.
    • Prepare and issue agendas, establishing which papers are required and who will be presenting.
    • Request and chase meeting papers to ensure timely receipt.
  • Meeting Facilitation
    • Attend committee meetings as required to ensure the room is set up appropriately, technology is functioning, and meetings are being recorded.
    • Take minutes for ad hoc meetings as needed.
  • Post-Meeting Activities
    • Maintain meeting attendance records and action logs.
    • Liaise with the chair and external outsourced firm (if applicable) to agree on draft minutes and issue them to members within agreed service levels.
  • Collaboration and Support
    • Liaise with the Company Secretarial team to align agendas, papers, and scheduling.
    • Provide administrative support as needed to ensure the smooth operation of committee meetings and governance processes.

To be successful in this role, you will possess excellent organizational and communication skills, with the ability to work effectively in a fast-paced environment. You will also have a strong attention to detail and be able to maintain confidentiality when handling sensitive information.
