Academic Consultancy Officer

The Academic Consultancy Officer will play a key role in delivering and improving the processes, procedures, and systems that underpin the Academic Consultancy Service (ACS). This will involve leading on the operational management of the University's Academic Consultancy portfolio, working closely with stakeholders to ensure a professional, efficient, and inclusive support function that drives the reputation and success of ACS.
Main Duties and Responsibilities- Lead the operational management of the University's Academic Consultancy portfolio, using initiative and judgement to act independently and on behalf of the broader Academic Consultancy team where appropriate.
- Provide effective oversight and financial management of all consultancy budgets within the University portfolio, working closely with the Academic Consultancy Managers, Contract Managers, and Finance Consultancy team.
- Build relationships and maintain an effective network with relevant colleagues across the organisation, speaking with and conveying authority on the subject to all stakeholders engaging in University Academic Consultancy activities.
- Lead the ACS portfolio management system and reporting tools, working with the ACS Managers to ensure compliance with fiscal regulations, risk obligations, and data management best practice.
- Produce and distribute regular operational reports, compile and analyse large data sets into comprehensive evidence-based reports, and use these to recognise trends and draw conclusions to deliver robust management information and recommendations for future service delivery.
- Manage project administration, including consultancy project forms, supplier set up forms, provision of banking information, and other related duties as reasonably required.
- Administer the ACS budget and work with the broader ACS team to continually monitor, review, and implement changes to systems to enhance the operational efficiency and effectiveness of consultancy processes, procedures, and systems.
- Assist with business development initiatives and gather feedback on service experience to inform continuous quality improvement.
- Lead the organisation of reputationally important pan-university ACS events, workshops, and training programmes to grow academic engagement.
- Support the development and maintenance of the ACS webpages.
- Perform any other duties that arise from time to time as directed by the manager or nominee.
- Engage in reasonable professional development activities as appropriate.
The ideal candidate will have a strong understanding of financial processes, systems, and budgeting in a large organisation, as well as experience of interrogating and maintaining databases. A Scottish Credit and Qualification Framework level 8 (Scottish Vocational Qualification level 4, Higher National Diploma) or equivalent qualification is essential, along with experience of personal development in a similar role.
Desirable qualifications include knowledge of higher education, and experience of working with data visualisation/business intelligence software.
Skills and ExperienceThe successful candidate will have excellent customer service and communication skills, both written and verbal, with the ability to interact and collaborate effectively with a range of stakeholders. They will also have the ability to work calmly under pressure to manage a high volume of work to meet demanding deadlines, ensuring high accuracy and delivery to high standards.
They will have effective planning, organising, and prioritising skills, with the ability to adapt to changing priorities or requirements. The ideal candidate will also have the ability to work independently and proactively, displaying a high level of ownership, initiative, and responsibility to prioritise, problem solve, and manage tight deadlines.
They will have proven analytical skills to logically assess data and apply effective evidence-based approaches to decision making, process improvements, and problem solving. A drive, enthusiasm, and high degree of personal effectiveness and resilience are also essential.
Proficient use of Excel, PowerPoint, Word, Outlook, Teams, Zoom, and similar online applications is required, and web editing skills are desirable.
Terms and ConditionsThe salary for this role will be Grade 6, £32,332 - £36,024 per annum. This is a full-time position (35 hours per week) with relocation assistance available where appropriate.
