About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Victoria College of Arts and Design. The successful candidate will provide comprehensive support to both staff and students, ensuring the effective management and integrity of student information within our student management system.

As a key member of our team, you will be responsible for accurate data entry, report generation, and coordination with academic departments. Your excellent communication and interpersonal skills will enable you to provide ongoing support to staff members, addressing any queries or issues related to the system.

ResponsibilitiesStudent Information Management
  • Accurate Data Entry: Ensure the accuracy and completeness of student records within the student management system.
  • Confidentiality and Security: Maintain the confidentiality and security of all student information.
  • Report Generation: Generate reports and extracts as required for academic and administrative purposes.
  • Coordination: Coordinate with academic departments to ensure timely and accurate data entry and reporting.
  • Documentation: Handle requests for student transcripts, certificates, and other documentation.
Training and Support
  • Training and Guidance: Train and guide other departments on the effective use of the student management system.
  • Support: Provide ongoing support to staff members, addressing any queries or issues related to the system.
  • Training Materials: Develop and update training materials and documentation to facilitate system usage.
Device Management and Replacement
  • Inventory Management: Assist in the inventory management of IT equipment and ensure timely replacements as needed.
  • Hardware Issues: Coordinate with the IT department to address any hardware issues or requirements.
General Administrative Duties
  • Enquiries: Respond to enquiries from staff, students, and external stakeholders regarding student records and information.
  • Coordination: Coordinate with other departments to ensure seamless service delivery related to student administration.
  • Events: Assist in the planning and execution of student-related events and functions, such as enrolment, graduation, and orientation.
  • Filing System: Maintain an organized filing system for student documentation and correspondence.
Requirements

To be successful in this role, you will need:

  • Diploma or Equivalent: A minimum of a diploma or equivalent in IT or Business Administration, or a related field.
  • Administrative Experience: Previous experience in an administrative role with a focus on student management, preferably within an educational institution.
  • System Proficiency: Proficient in using student management systems and standard office software.
  • Organizational Skills: Strong organizational skills and the ability to work under pressure.
