Job Summary

We are seeking a highly skilled and experienced Senior Administrative Assistant to support the Head of Bids and Tendering at Coyle Personnel. The successful candidate will provide exceptional administrative support, ensuring the smooth day-to-day operation of the team.

Key Responsibilities

  • Proactively manage the Head of Bids and Tendering's diary, scheduling meetings and visits, and coordinating bid meetings.
  • Organize and coordinate the preparation of required documentation for bid approval meetings.
  • Take accurate meeting minutes and actions, and review incoming emails, prioritizing and highlighting key issues to the Head of Bids and Tendering.
  • Manage expenses and other approvals as delegated by the Head of Bids and Tendering.
  • Support the Bids and Tendering leadership team as required, including managing new starter and induction processes.
  • Update departmental org charts and raise purchase orders for the department cost centre.
  • Manage the monthly Team Brief and Bid Team Update process, including organizing guest speakers and facilities management for the Chippenham ST&BD team and wider Bids and Tendering function.

Requirements

  • Proven experience in a similar administrative role, with a strong understanding of bid management processes.
  • Excellent organizational and communication skills, with the ability to work effectively in a fast-paced environment.
  • Proficient in Microsoft Office, with experience of using diary management software.
  • Able to maintain confidentiality and discretion when handling sensitive information.
