The ideal candidate will have experience in recording and matching invoices to purchase orders and delivery notes, coding invoices accurately, and preparing supplier payment runs. They will also be responsible for reconciling supplier statements, maintaining the purchase ledger, and investigating discrepancies in supplier accounts.
">Responsibilities:
- Record and match invoices to purchase orders and delivery notes
- Coding invoices accurately to the appropriate accounts
- Prepare supplier payment runs, including BACS, cheques, or electronic transfers
- Reconcile supplier statements and ensure timely payments
- Maintain the purchase ledger by reconciling accounts
- Investigate and resolve discrepancies in supplier accounts
- Set up and maintain supplier accounts and contact details
- Liaise with suppliers to resolve queries or disputes regarding payments or invoices
- Process staff expense claims, verify receipts, and ensure compliance with company policies
- Support month-end processes by ensuring purchase ledger accounts are accurate
- Produce reports on accounts payable, outstanding invoices, and other relevant metrics
- Maintain accurate and up-to-date records of financial transactions
- Filing and archiving invoices and payment documentation as required
- Ensure adherence to financial policies and internal controls
- Assist with audits by providing necessary documentation and explanations
- Coordinate with internal teams (e.g., procurement, finance) to ensure seamless processing of transactions
- Respond to queries related to payments, invoices, or account balances
- Use accounting software to manage the ledger and track payments
- Ensure data integrity in financial systems
