Position Overview

The role is integral to the Affinity Care Primary Care Network Team, focusing on the daily management of appointment scheduling for patients involved in various vaccination and immunization initiatives, including but not limited to the COVID-19 vaccination effort, seasonal influenza shots, Shingles, and other adult immunization programs.

Key Responsibilities

Respond to inquiries from the public regarding scheduled vaccination initiatives, including seasonal influenza and child immunizations.

Proactively engage with patients to arrange their vaccinations in accordance with eligibility guidelines established by health authorities.

Perform tasks aligned with the role's responsibilities, ensuring timely and effective delivery of services.

Job Duties

Assist the administrative and vaccination teams in establishing an efficient workflow that optimizes team resources.

Implement strategies to enhance patient attendance and minimize missed appointments.

Leverage technology and communication methods to improve patient engagement.

Adopt a patient-centric approach, identifying opportunities to enhance our systems for a better patient experience.

Report relevant issues and updates to the Care Coordinator for Vaccinations, Immunizations, and Screening Programs, ensuring they are informed of any developments affecting team operations.

Support the collection and reporting of activity data as required.

Continuously seek opportunities for service improvement, balancing patient safety with efficient resource utilization.

Information Management Responsibilities

Comply with General Data Protection Regulations (GDPR) and direct any queries appropriately.

Adhere to Affinity Care's data protection policies, maintaining confidentiality at all times.

Ensure the accuracy and timely updating of personal files, both electronic and paper, for audit purposes.

Exercise caution when transmitting sensitive information.

Follow organizational policies regarding email and computer usage as primary communication methods.

Additional Responsibilities

Be prepared to work at various locations associated with the practice as needed.

Maintain regular attendance and an organized workspace.

Perform any other duties as required that align with the role, including covering for absent colleagues.

Qualifications

Essential:

  • GCSE English Language, Grade C or above (or equivalent)

Desirable:

  • NVQ Level 3 or equivalent knowledge in office procedures or customer service

Experience

Essential:

  • Experience with a variety of administrative systems and software
  • Direct patient or customer communication experience, either face-to-face or via telephone
  • Proficient computer skills
  • Familiarity with vaccines and immunizations

Desirable:

  • Experience using the SystmOne clinical system
  • Ability to assist in data collection and analysis
  • Understanding of data protection legislation
  • Experience in supporting service improvements
