About the Role

We are seeking a highly motivated and enthusiastic individual to join our Medicines Management Team as a Medicines Management Programme Support Officer. As a key member of our team, you will play a vital role in supporting the delivery of high-quality medicines management services to our patients.

Key Responsibilities
  • Act as a point of contact for stakeholders and the public, responding effectively to complex queries and passing on relevant information to appropriate team members.
  • Assist in the preparation of various documents, including policies and procedures, often to tight deadlines, requiring a high level of concentration and frequent interruptions.
  • Use your own initiative to plan time effectively and prioritize your workload on a daily basis, responding quickly and appropriately to urgent, important, unpredictable, and occasionally distressing issues.
  • Provide support for the management of the Blueteq hi-cost drugs management system.
  • Support the validation of hospital invoices using Blueteq and raise challenges where appropriate.
  • Supply the relevant information required for financial management, by checking Blueteq approvals against patient details supplied and sending a request for invoices to be paid using Oracle.
  • Provide support for the HCM working group as required.
  • Ensure that monthly audits are carried out to ensure reliable data provision to the senior pharmaceutical advisor for HCM.
  • Support the medicines Incident Lead with the provision of further information where required to support the quality process for managing incidents within STW ICB.
  • Ensure that Medicines Management documents, including Patient Group Directions, Commissioning Policies, and Prescribing Guidelines, are up to date and flagged to the Deputy Director of Medicines Management/Pharmaceutical Advisers in a timely manner for review.
  • Review emails in Mailboxes and provide support and information to enable reply.
  • Support the medicines management team with projects, providing plans or supporting information as required.
  • Use computer-based systems to extract data to support the Medicines Management Team to deliver an effective service, including Oracle Analytics and Ulysses.
  • Be responsible for the development of detailed Medicines Management databases, including the NICE tracker.
  • Be responsible for the maintenance of a logical filing system and ensure that all records are kept in such a way that they are easily retrievable and confidentiality is maintained, also ensuring that records are disposed of in accordance with the NHS Records Management policy.
  • Identify and report all risks to health and safety, security of equipment and property in accordance with ICB policies.
  • Maintain confidentiality of patient and prescribing data in line with ICB confidentiality.
  • Work on your own initiative within professional boundaries and within national/local protocols and legislation.
  • Act on your own professional judgement on a daily basis with regard to making recommendations in respect of medicines management.
  • Undertake any other duties at the request of the line manager, which are commensurate with the role, including project work, internal job rotation, and absence cover.
  • Participate fully in the development review (appraisal) process and undertake continuing professional development as required.
  • Deputise for the Senior Pharmacy Technician in the management of the Prescription Ordering Direct (POD) department.

  • Essential:
    • Education to NVQ 3 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience.
  • Desirable:
    • Ability to meet the travel needs of the post.
    • Professional, calm, and efficient manner.
    • Ability to work without supervision.
  • Knowledge:
    • Understanding of confidentiality and Data Protection Act.
  • Skills:
    • Intermediate knowledge of IT systems and software programmes, including Outlook, Word, Excel, PowerPoint, and Access.
