Are you seeking a dynamic position that allows you to leverage your administrative and customer service expertise? As a Business Systems Coordinator at Turnbull, you will play a crucial role within the Support Services Team, delivering comprehensive multi-functional assistance.

Key Responsibilities

In your capacity as a Business Systems Coordinator, your primary duties will include:

  • Overseeing that all personnel and vehicles associated with Turnbull have the appropriate access rights, ensuring smooth operations in compliance with relevant licensing conditions.
  • Maintaining the integrity of all WIMS profiles for Turnbull stakeholders.
  • Managing the onboarding process for new personnel in accordance with organizational requirements.
  • Preparing and managing documentation for monthly WIMS audits as requested, ensuring that site operations remain uninterrupted.
  • Facilitating effective communication with other departments and subcontractors to foster a cohesive working environment and resolve any identified issues.
  • Ensuring the timely and accurate uploading of all company documents to the Information Management System (IMS).
  • Handling correspondence by responding to emails and queries in shared inboxes.
  • Monitoring data to ensure compliance and prevent access issues on site.
  • Assisting the broader team with various administrative tasks as needed.
  • Collaborating with on-site staff to guarantee accurate information transfer.
  • Providing prompt and effective solutions to operational challenges.
  • Participating in the training and development of both new and existing team members.
  • Exhibiting self-management skills to handle workload efficiently in a fast-paced environment while upholding high safety and quality standards.
Qualifications

To excel in this role, you should possess:

  • Strong problem-solving abilities.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, Visio, and PowerPoint.
  • Excellent organizational skills with the capability to manage multiple tasks simultaneously.
  • Outstanding administrative skills.
  • Effective communication skills, demonstrating diplomacy, tact, and empathy.
  • Experience in handling large datasets and providing analytical reports.
  • A minimum of two years of intermediate to advanced administrative experience is preferred.
  • A qualification in business administration is advantageous.
