Position Overview

Stourport Medical Centre is seeking an Administrative Coordinator to become a vital part of our team, working 37 hours per week (part-time hours may be considered). The ideal candidate will manage a variety of administrative responsibilities, including patient registration, appointment scheduling, and ensuring that all information is accurately maintained and followed up on. This role serves as the primary point of contact, responsible for the distribution of information, messages, and inquiries for the medical team, while collaborating with multidisciplinary team members and other healthcare professionals.

Key Responsibilities

  • Professionally and courteously greet all patients and visitors at the reception and handle incoming phone calls.
  • Direct calls to the appropriate personnel and take messages as necessary.
  • Address administrative inquiries and requests from patients, acting as a liaison with clinicians when required.
  • Manage appointment scheduling, including making, canceling, and rearranging appointments through the clinical system.
  • Provide support to clinicians as needed.
  • Process requests for medical reports and manage associated fees.
  • Maintain a tidy workspace and waiting area.
  • Open and close the premises, ensuring security protocols are followed.

Qualifications

Essential

  • Good educational background, including qualifications in Mathematics and English.
  • Proficient IT skills.
  • Ability to work in a systematic and organized manner with attention to detail.
  • Excellent verbal and written communication skills, capable of interacting effectively with a diverse range of staff and patients.

Desirable

  • Previous experience in a similar role within a healthcare setting.
  • Familiarity with EMIS patient records system and software.
  • Knowledge of Microsoft Office applications.
