Role Overview:
This role involves a variety of administrative support functions aimed at enhancing operational efficiency. Key responsibilities include:

  • Email Management: Oversee and organize your own correspondence.
  • Document Handling: Perform tasks such as copying, scanning, faxing, and archiving.
  • Data Management: Input and update records across multiple systems, ensuring accuracy and completeness.
  • Quality Assurance: Conduct basic audits and quality checks on data entries.
  • Communication: Address inquiries via phone and in-person, providing effective responses and guidance.
  • Meeting Support: Prepare meeting rooms with necessary equipment and resources, ensuring a conducive environment for attendees.
  • Financial Administration: Handle routine invoicing, create purchase orders, and manage petty cash transactions.
  • Diary Coordination: Assist senior management with scheduling and maintaining electronic calendars.
  • Reception Duties: Serve as the initial point of contact, managing visitor inquiries and directing them appropriately.
  • Health and Safety Compliance: Adhere to organizational policies and procedures, promoting a safe working environment.

Additional Responsibilities:
As part of this role, you may also be required to:
  • Take minutes during meetings.
  • Monitor and maintain office supplies and equipment.
  • Support financial processes through monitoring and auditing.
