Position Overview

The primary objective of this role is to effectively manage the scheduling and allocation of clinical and mobile assets (vehicles, personnel, medical professionals) to address patient needs within the Integrated Urgent Care Service. This position requires close collaboration with the Clinical Coordinator and Shift Manager to ensure optimal decisions are made regarding patient appointments, home visits, and ongoing clinical evaluations following triage or medical advice.

Key Responsibilities

NHS 111 Coordination

  • Continuously assess and oversee the dispatch queue generated by NHS 111.
  • Facilitate patient bookings into primary care center appointments when not directly arranged by the NHS 111 triage team.
  • Ensure timely review of information by clinical staff to identify patients needing home visits.
  • Oversee the scheduling of home visits to maximize resource efficiency and ensure timely patient care.
  • Update the system if a patient re-contacts NHS 111 after initial triage, including cancellations or changes in clinical status.
  • Manage the Non-Clinical Call Back Queue effectively.

Service Performance Monitoring

  • Regularly monitor the status of patients receiving out-of-hours care to meet key performance indicators.
  • Provide updates to the shift manager throughout the shift to facilitate informed decision-making and actions aligned with performance targets.

Demand and Capacity Oversight

  • Monitor incoming demand to the Integrated Urgent Care service via NHS 111 and other referral sources.
  • Evaluate demand levels against available resources during shifts to ensure sustainable patient care.
  • Advise the shift manager on optimal resource utilization to meet demand safely and efficiently.

Professional Line Management

  • Respond to calls from healthcare professionals on the professional line.
  • Ensure calls are answered within established response time targets.
  • Provide professional and knowledgeable responses to callers, ensuring the Clinical Coordinator is available for prompt communication.
  • Process external referrals from sources other than NHS 111, ensuring accurate entry into the system.

Qualifications and Experience

  • Good educational background, ideally to GCSE level or equivalent.

  • Experience in a healthcare or NHS environment.
