Boffin Recruitment is representing a prestigious law firm with a workforce of 180 professionals operating across multiple European locations.

This dynamic firm integrates a team of patent attorneys, litigators, and commercial IP lawyers, catering to a diverse global clientele that includes small to medium enterprises and large multinational corporations across various sectors such as telecommunications, software development, pharmaceuticals, biotechnology, medical devices, aerospace, and logistics.

The primary objective of this position is to support the office operations, acting as a representative and executing various office and housekeeping tasks to facilitate the efficient functioning of the office.

The Office Services Assistant will be tasked with ensuring the timely completion of the responsibilities outlined below, along with addressing any ad hoc requests from the Office Services Manager or other team members.


Reception Duties:
  • Welcoming and assisting visitors

Facilities Management:
  • Reporting maintenance issues and coordinating repairs with the Office Manager
  • Following up with contractors as needed
  • Managing the Pure Water gas canister replacement
  • Maintaining cleanliness in the reception and communal areas
  • Refilling the Nespresso holder each morning
  • Performing maintenance on the Miele coffee machine
  • Monitoring kitchen supplies and placing orders
  • Conducting regular inventories of stationery and placing orders
  • Ordering miscellaneous items upon request
  • Keeping track of headed paper and compliment slips
Office Inductions:
  • Conducting orientations for new employees
Delivery Management:
  • Acting as the primary contact for incoming and outgoing deliveries
  • Mailing items to the local postal service
  • Ensuring fire exits remain unobstructed
  • Testing emergency lighting and maintaining records
  • Completing monthly evaluations for cleaning contractors
  • Performing water temperature assessments
  • Conducting fire extinguisher inspections

Travel Coordination:
  • Managing travel inquiries and arrangements, serving as the liaison for the Travel Team

Essential skills include proficiency in MS Office applications, particularly Word and Excel, as the firm operates a paperless environment.

  • Strong organizational skills with the ability to prioritize urgent requests
  • Excellent written and verbal communication skills to keep team members informed
  • A proactive, adaptable approach with a readiness to embrace new challenges
