Job Overview

We are seeking a dedicated individual to join our administrative team, ensuring the delivery of high-quality, responsive, and coordinated support services for our Healthcare Team and associated staff. The role is crucial in maintaining a resource-efficient and cost-effective service for both service users and staff.

The successful candidate will collaborate with partner organizations to provide integrated administrative services across our healthcare network.

Key Responsibilities

  • Serve as the primary contact for internal personnel and external agencies regarding referrals, appointments, and general inquiries related to services.
  • Accurately relay messages to the healthcare team as necessary.
  • Manage complaints effectively, including the completion of necessary documentation and communication with patients.
  • Process and coordinate patient referrals in accordance with established protocols to enhance the quality of care.
  • Organize clinical and non-clinical appointment schedules, addressing changes and cancellations as needed to optimize time management.
  • Utilize office systems, including diaries and information management tools, while performing general administrative tasks such as scanning and photocopying.
  • Document meeting minutes as required and ensure they are transcribed to a high standard.

Required Qualifications and Skills

Essential Qualifications

  • Proven experience in an administrative capacity.
  • Competence in diary management.
  • Experience in organizing meetings.

Knowledge and Skills

  • Proficiency in Microsoft Office Suite.
  • Experience in minute-taking.
  • Ability to collaborate effectively within a team.
  • Strong organizational capabilities.

Educational Requirements

  • NVQ Level 3 or equivalent in Business Administration.
  • GCE/GCSE in Mathematics and English at Grade C or above or equivalent qualification.
