About the Role

This is an exciting opportunity to join Hays Specialist Recruitment Limited as an Administrative Support Specialist for Senior HR Leaders. As a key member of the HR team, you will provide administrative support to the Senior Leaders, including the Talent and Capabilities Team.

Key Responsibilities
  • Meeting Coordination: Organize ad hoc and regular meetings with internal and external stakeholders, including room bookings and reception arrangements.
  • Minute Taking: Take minutes at various formal meetings and produce and circulate them as required.
  • Document Development: Develop templates and documents as needed, using Microsoft Office and other software packages.
  • Document Management: Maintain mail distribution lists, organizational charts, and other documents used across HR, as well as manage relevant Teams channels and access to HR SharePoint sites.
  • Post and Scanning: Collect and distribute physical post, scanning and emailing colleagues if they are off-site.
  • Process Improvement: Assist in the development of step-by-step guides to make existing processes easier to follow.
  • HR Intranet Management: Work with colleagues to update the HR intranet content, making HR information easier to find and understand.
  • Process Review: Support the continual review of internal processes to ensure the most suitable HR functions are carried out by the most appropriate roles.
  • Email Management: Manage the Talent and Capabilities email account, dealing with frontline enquiries and signposting enquirers to relevant policies.
  • Facilitator Support: Be the first point of contact for external facilitators, managing reception and escorting arrangements as required, and managing room bookings using the online booking system.
  • Training Administration: Circulate and collate training evaluation forms, assist with the administration and management of training records and reporting.
  • Support to Senior HR Colleagues: Support senior HR colleagues in periods of peak activity, such as the processing of the annual pay award and the management of the in-year bonus scheme.
  • HR Workspace Management: Report issues with the HR workspace to the relevant helpdesks and follow through to resolution.
