CBW Staffing Solutions is thrilled to present a new role for a facilities support coordinator to join a prominent facilities management organization on a permanent basis. This position is based in Leeds, and the ideal candidate will possess a relevant administrative or facilities background. Working Hours:
  • 08:00-17:00 Monday-Friday (fully in office)
Key Responsibilities:
  • Oversee daily requests through the CAFM system/help desk
  • Collaborate with the Contract Manager and Service Delivery & Mobilisation Manager to assign tasks to contractors
  • Engage with clients throughout the process, providing updates, addressing inquiries, and generating quotes on client-specific platforms and our CAFM software
  • Coordinate with engineers to determine the full scope of work required and create reports/quotes
  • Source and procure parts/materials from suppliers as needed
  • Generate Purchase Orders for Contractors/Suppliers via the CAFM system and authorize contractor invoices for payment
  • Monitor contractor performance against Service Level Agreements (SLAs)
  • Assist the Contract Manager with administrative tasks, including filing, copying, printing, scanning, collating, and laminating documents
  • Review schedules weekly to ensure optimal resource utilization and align skill sets with tasks, involving discussions with technical managers
  • Compile instances of planned and reactive works that cannot be completed and escalate to the Service Delivery & Mobilisation Manager
  • Ensure data for monthly reports is submitted to the Contract Manager
  • Update Work In Progress (WIP) reports weekly for WIP meetings
  • Maintain documentation on the shared drive
  • Prepare financial month-end pack submissions with the Contract Manager
