This position is located in Leeds, and the ideal candidate will possess a relevant administrative or facilities background. You will become part of a dynamic team in a fast-paced environment that recognizes and rewards dedication and effort. Below are the specifics of this exciting opportunity:

Working Hours:
  • 08:00-17:00 Monday-Friday (fully in office)
Key Responsibilities:
  • Oversee daily requests through the CAFM system/Help desk
  • Collaborate with the Contract Manager and Service Delivery & Mobilisation Manager for the assignment of tasks to contractors
  • Engage with clients from initiation to completion, providing updates on tasks, addressing client inquiries, and generating quotations on client-specific web platforms and our CAFM software
  • Coordinate with engineers to ascertain the full scope of work required and prepare reports/quotations
  • Source and procure parts/materials from suppliers as needed
  • Generate Purchase Orders for Contractors/Suppliers via the CAFM system and authorize contractor invoices for payment
  • Monitor contractor performance in relation to Service Level Agreements (SLAs)
  • Assist the Contract Manager with administrative tasks, including filing, copying, printing, scanning, collating, and laminating documents
  • Review schedules weekly to ensure optimal resource utilization and alignment of skill sets to tasks, which will involve liaising with technical managers
  • Compile all instances of planned and reactive works that cannot be completed and escalate to the Service Delivery & Mobilisation Manager
  • Ensure data for monthly reports is provided to the Contract Manager
  • Update Work In Progress (WIP) reports weekly for WIP meetings
  • Maintain documentation on the shared drive site
  • Submit the Financial Month-end pack in collaboration with the Contract Manager
