Position Overview

Join a leading organization in the Facilities Maintenance sector, recognized nationally for its expertise across various industries including Commercial, Industrial, Retail, Government, Healthcare, and Education.

Role Responsibilities

We are seeking a Facilities Operations Coordinator to enhance our team. This role involves:

  • Data Management: Gathering and documenting sector-specific information to establish best practices for Pre-Qualification Questionnaire (PQQ) submissions.
  • Tender Preparation: Conducting research and preparing comprehensive Tender documents, including Selection Stage Questionnaires (SSQ), Invitation to Tender (ITT), and open proposals.
  • Collaboration: Working closely with the Business Development Manager to create high-quality Tender and Marketing materials.
Documentation and Presentation

Preparation of various documents, including:

  • Business Unit Presentations: Creating engaging PowerPoint presentations and sales materials.
Client Engagement

Assisting with:

  • Account Renewals: Proactively supporting client account renewals and rebids ahead of contract anniversaries.
Business Unit Support

Tasks include:

  • Event Coordination: Organizing Business Unit events, such as quarterly meetings for Senior Management Team (SMT) and Contract Managers, as well as social gatherings.
  • Holiday Tracking: Maintaining a master holiday tracker for the Business Unit Director.
  • Additional Duties: Performing other tasks as assigned by the Business Unit Director.
Office Administration

Key responsibilities involve:

  • Office Queries: Addressing Office Management inquiries and participating in tenant meetings.
  • Attendance Records: Monitoring sickness and absence for the Business Unit and submitting necessary documentation to Payroll.
  • Supply Management: Ordering office supplies, including subsistence and stationery.
  • Invoice Processing: Managing all overhead invoices for the Business Unit.
  • Visitor Engagement: Handling frequent inquiries from office visitors.
  • Data Collection: Following up with Contract Managers for essential data required by the Business Unit Director or Managing Director.
  • Process Improvement: Developing systems and procedures to enhance overall office efficiency.
Compensation and Benefits

We offer a competitive salary ranging from £36,000 to £40,000, along with performance-based bonuses.

Additional benefits include:

  • 25 days of annual leave plus bank holidays.
