Position Overview

We are seeking a dedicated Patient Services Coordinator to become a vital part of our welcoming practice team. This role involves working 35 hours per week in a supportive environment. This is a fixed-term position with the potential for permanent employment. We encourage applicants who may be interested in job sharing to indicate this in their application.

The typical work schedule includes two full days and two half days each week, with flexibility required to cover for colleagues during absences.

Key Responsibilities

The successful candidate will be responsible for:

  • Opening and securing the practice premises, ensuring a safe environment for staff and patients.
  • Welcoming and directing patients upon arrival, providing a friendly and efficient service.
  • Managing requests for repeat prescriptions and coordinating home visit requests with the medical team.
  • Handling general inquiries, explaining practice procedures, and scheduling appointments both over the phone and in person.
  • Ensuring all urgent messages are addressed by the end of each shift.
  • Processing incoming and outgoing correspondence, including scanning documents into the clinical system.
  • Maintaining accurate patient records and assisting with the registration of new patients.
  • Liaising with external agencies as necessary.
  • Contributing to the development of new processes and procedures.
  • Performing additional duties as assigned by management.

Essential Skills and Experience

To be successful in this role, candidates should possess:

  • Prior experience in a reception or customer service role.
  • Strong organizational and communication skills.
  • Proficiency in computer systems, including Microsoft Office.
  • The ability to manage time effectively and work under pressure.
  • A commitment to maintaining confidentiality and professionalism.
  • A valid UK driving license and access to a vehicle is advantageous.
