Key Responsibilities

Role Purpose

To serve as the initial point of contact for patients and their families in a clinical setting.

To ensure a smooth and efficient patient reception and administrative process within the primary care environment.

Core Duties

As part of a large reception team supporting a busy practice, you will be the first point of contact, either via phone or in person, for patients and visitors. You will utilize effective communication skills to facilitate access to services and assist with appointment scheduling.

Specific Responsibilities Include:

  • Managing the administrative functions of the practice's appointment booking systems.
  • Handling incoming calls and responding appropriately, including scheduling appointments and referring patients for further clinical assistance.
  • Welcoming patients upon arrival and ensuring a positive first impression.
  • Collaborating with the reception team to perform all aspects of reception duties, including message taking, appointment booking, and responding to inquiries.
  • Processing new patient registrations and temporary registrations.
  • Addressing verbal complaints and escalating unresolved issues to management as necessary.
  • Utilizing effective communication methods within the team.
  • Performing various clerical tasks as needed, such as scanning, filing, faxing, and photocopying.
  • Assisting clinicians as a chaperone when requested.
  • Opening and managing incoming mail, ensuring appropriate handling and documentation.
  • Providing administrative support for maintaining data quality.
  • Assisting with the daily production of prescriptions and repeat dispensing.
  • Supporting the onboarding of new or temporary reception staff.
  • Following up on patient requests and liaising with other healthcare agencies as needed.
  • Taking and recording messages for clinical staff regarding home visits and medical advice.
  • Maintaining the cleanliness and organization of reception and waiting areas.
  • Reporting equipment malfunctions and maintenance issues to management.
  • Ensuring compliance with health and safety policies and reporting incidents as required.
  • Opening and securing the premises as necessary.

Qualifications and Skills
