About the Role

We are seeking an experienced and skilled Patient Flow Administrator to join our team at Sheffield Health and Social Care NHS Foundation Trust. As a key member of our team, you will provide administrative support to the Out of Area Bed Manager, Out of Area Expenditure Manager, Flow Coordinator Team, and Service Manager in Crisis Services.

Main Responsibilities

  • Liaise with external providers to establish consent for sharing information with family members.
  • Send information to nearest relatives or advocates of patients placed in out-of-area providers.
  • Provide administrative support for ward rounds, including providing SHSC-specific information to out-of-area providers.
  • Upload patient-specific information to the Electronic Patient Record system.
  • Complete and return funding forms, ensuring high-quality data entry.
  • Monitor training compliance within the Flow Team and arrange transportation for patients.
  • Set up and minute contracting meetings with out-of-area providers.
  • Raise requisitions and Purchase Orders for services and funds.
  • Ensure out-of-area providers are aware of supporting evidence required for invoices.
  • Perform other administrative duties as reasonably requested by the Service Manager, Expenditure Manager, or Bed Manager.

Person Specification

  • Previous administrative experience in a clinical setting.
  • Excellent communication and interpersonal skills.
  • Ability to handle confidential information and work flexibly to meet the needs of the service.
  • Skilled user of Microsoft Office, including Word, PowerPoint, and Excel.
  • Good standard of education, including GCSE or equivalent grade C or above in English and Maths or equivalent experience.
