Position Overview

The Financial Operations Specialist role is a fixed-term opportunity or a secondment option.

This position involves collaborating with the Financial Accounting Team to oversee the management of the Sales Ledger and Purchase Ledger, as well as the credit control operations of the Trust.

Engagement with various personnel across the Finance department and other Trust divisions is essential to ensure precise accounting records are maintained.

The Specialist will provide guidance, information, and support to staff throughout the Trust regarding any financial inquiries.

It is crucial to communicate any actions back to the Financial Accounting Team, ensuring they are executed appropriately.

All communications exchanged with the Financial Accounts team must adhere to the required standards, and requests should be addressed promptly and appropriately.

Key Responsibilities

Deliver a premier financial accounting service to the Trust.

Collaborate with the Financial Accounts Team to manage the Sales Ledger, Purchase Ledger, and credit control functions, ensuring all income is accurately recorded in the financial ledgers.

Assist the Financial Services Manager in implementing treasury management policies.

Be part of a team dedicated to ensuring that all invoices for goods and services provided to the Trust are generated and processed accurately, in compliance with the Trust's Standing Financial Instructions and internal protocols.

Ensure the recovery of all reclaimable VAT on processed invoices.

Job Duties

Input data into computerized systems to ensure timely and accurate production of invoices and credit notes.

Import pharmacy production data into the sales ledger via interface.

Maintain comprehensive customer records by accurately allocating cash to the appropriate accounts.

Keep supporting documentation to ensure adequate audit trails.

Address discrepancies with customer accounts or refer them to the appropriate personnel for resolution.

Ensure the sales ledger provides accurate VAT reporting in line with current HMRC regulations.

Reconcile any cash received that has not been allocated to specific accounts.

Manage a section of the Trust's suppliers, ensuring prompt and accurate payment of invoices and credit notes according to statutory and internal policies.

Register purchase invoices and credit notes promptly to support the uninterrupted flow of goods and services to the Trust.

Review computer input and output reports to prevent late payments of invoices.

Match invoices with goods receipt notes using both manual and computerized systems.

Process manual and computerized payments and manage receipts.

Obtain authorization for invoices lacking evidence of receipt of goods or services as per Standing Financial Instructions.

Input daily income information into spreadsheets to ensure alignment with the computerized system and resolve any discrepancies.

Adhere to daily and monthly reporting timelines as part of departmental responsibilities.

Respond to inquiries from Trust staff, other NHS organizations, and customers, and contact the relevant parties to resolve issues.

Assist the Financial Services Manager in executing an effective credit control function to maximize income collection for the Trust.
