Facilities Manager - Residential Development

Competitive Salary

Monday to Friday

The Facilities Manager will oversee the operational excellence of a high-end residential property featuring 250 units.

This position is initially temporary with the potential for a permanent role.

The Facilities Manager will be accountable for the entire property, ensuring effective management of on-site personnel, supervising both scheduled and urgent maintenance tasks, managing contractor relationships, maintaining the aesthetic quality of communal spaces, and delivering outstanding customer service to residents and visitors.

  • Conduct regular quality assessments and site inspections of all communal areas to ensure cleanliness and safety, identifying any maintenance needs or hazards.
  • Oversee contractor performance, ensuring compliance with safety protocols and managing the approval of maintenance work.
  • Coordinate planned maintenance activities in collaboration with the Estate Manager, ensuring timely execution according to established standards.
  • Manage inventory for daily operational supplies, ensuring adequate stock levels are maintained.
  • Facilitate the collection of utility meter readings for shared services.
  • Perform system checks throughout the property, including emergency lighting and fire alarm systems.
  • Assist residents with parking issues and ensure proper use of designated parking areas.
  • Monitor the CCTV system as necessary.
  • Schedule and supervise all contractors for routine and emergency repairs.
  • Maintain a visible presence on-site to ensure cleanliness and order.
  • Support the Estate Manager in budget preparation and financial oversight.
  • Ensure compliance with lease agreements and property regulations.
  • Manage waste disposal effectively, ensuring cleanliness and accessibility of refuse areas.
  • Provide input for management meetings and resident communications.
  • Assist in the retendering process for annual contracts and evaluate contractor performance.

Maintenance & Repairs

  • Request and evaluate quotes for maintenance work.
  • Coordinate repairs with contractors and ensure completion.
  • Follow up on emergency repairs occurring outside of regular hours.
  • Replace lighting in communal areas as needed.
  • Address minor maintenance tasks such as door adjustments.
  • Communicate with residents regarding the status of completed repairs.

Resident Services

  • Oversee the administration and daily operations of resident services, including parcel management and key handling.
  • Serve as the primary contact for residents regarding maintenance issues and emergencies.
  • Monitor tenant transitions to prevent damage to communal areas.
  • Welcome new residents and familiarize them with property guidelines.

Team Leadership

  • Develop cleaning and security service protocols for the property.
  • Conduct staff training and identify ongoing development needs.
  • Manage staff uniforms and equipment to ensure operational readiness.
  • Oversee staff scheduling to maximize efficiency and report to HR.
  • Support and supervise the work of on-site staff, including security and cleaning teams.
  • Conduct annual performance reviews for staff members.
  • Update and enforce operational policies and procedures.

The ideal candidate will possess:

  • Experience managing high-end residential properties, preferably in block management or hospitality.
  • Strong leadership skills with a focus on team development.
  • Experience in contractor management and oversight.
  • Basic financial management skills are desirable.
  • Proficiency in Microsoft Office applications.
  • A solid educational background.
  • A valid driving license is preferred but not mandatory.
