Position Overview

The role of the Office Services Assistant is essential in maintaining the operational efficiency of our client's office. This position is designed for a dedicated individual who thrives in a dynamic environment and is committed to ensuring that all office functions run smoothly.

Key Responsibilities

Reception Duties:

  • Welcoming and assisting visitors with professionalism.
  • Providing refreshments to guests.
  • Preparing meeting spaces by ensuring they are tidy and well-equipped.

Facilities Management:

  • Coordinating with cleaning staff and managing upkeep requests.
  • Reporting maintenance issues to the office management team.
  • Maintaining cleanliness in communal areas and ensuring supplies are replenished.

Supply Management:

  • Monitoring and ordering kitchen and office supplies as needed.
  • Conducting inventory checks for stationery and other materials.

Onboarding Support:

  • Preparing workspaces for new employees and facilitating their orientation.

Daily Operations:

  • Managing incoming and outgoing deliveries.
  • Handling postal services and ensuring compliance with safety regulations.
  • Maintaining petty cash records and processing transactions.

Monthly Responsibilities:

  • Conducting safety checks and maintaining records for compliance.
  • Coordinating with external service providers for maintenance and supplies.

Travel Coordination:

  • Assisting with travel arrangements and inquiries for staff.

Qualifications and Skills
