Position Overview

We are seeking to enhance our team at Fencepiece Road Medical Centre and offer exciting opportunities for the right candidate. We are in search of a compassionate, diligent, and friendly individual who embodies the empathetic ethos of NHS care necessary to deliver the healthcare our patients deserve.

Currently, we require 2 motivated part-time Patient Services Coordinators to join our dynamic, busy, and diverse practice. Candidates should possess a minimum of 6 months experience with the EMIS system.

Key Responsibilities

The role of Patient Services Coordinator encompasses a variety of tasks, including:

  • Welcoming and assisting patients upon arrival.
  • Managing incoming calls and addressing inquiries or redirecting them as necessary.
  • Processing home visit requests.
  • Scheduling appointments using the EMIS appointment system.
  • Creating new and follow-up appointments.
  • Performing general reception duties.
  • Organizing medical records, correspondence, and test results.
  • Scanning documents into the clinical system in accordance with practice protocols.
  • Opening and distributing mail appropriately, ensuring confidential items are left unopened for the doctor or practice manager.
  • Maintaining accurate records for new patients.
  • Preparing computerized acute/repeat prescriptions following established protocols.
  • Assisting with data collection for QOF, audits, and enhanced services as needed.
  • Utilizing Accrx to communicate with patients regarding messages, reminders, and general information while ensuring confidentiality.
  • Ensuring treatment and consultation rooms are securely locked after each session.
  • Preparing the doctors' rooms for use at the start of each surgery.
  • Keeping the waiting area tidy after clinics.
  • Adhering to the Clean Desk policy.
  • Maintaining supply levels of stationery in reception and treatment areas.
  • Typing hospital referral letters in the absence of the practice secretary.
  • Reading and coding clinical documents as per agreed protocols.
  • Upholding confidentiality at all times.
  • Providing relief cover for colleagues when necessary and demonstrating flexibility during periods of absence.
  • Complying with existing procedures and protocols, as well as health and safety regulations.
  • Acting as a keyholder with responsibilities for opening and securing the premises as required.
  • Participating in relevant training as needed for the role.
  • Reporting incidents and health & safety hazards promptly.
  • Maintaining cleanliness and hygiene in work areas, following appropriate infection control procedures.
  • Completing periodic infection control training.
  • Adhering to national standards of infection control and good practice guidelines.
  • Using Personal Protective Equipment (PPE) correctly and advising others on its appropriate use.
  • Ensuring compliance with the practice's complaints policy.
