Position Overview

We are excited to announce a new opportunity at Fencepiece Road Medical Centre for a dedicated and compassionate individual to join our team. We are seeking a friendly and diligent Patient Services Coordinator who embodies the empathetic ethos of NHS care, ensuring our patients receive the highest standard of health services.

We are currently looking for two motivated part-time team members to enhance our dynamic and diverse practice. Candidates should possess a minimum of six months experience with the EMIS system.

Key Responsibilities

As a Patient Services Coordinator, your primary duties will include:

  • Welcoming and assisting patients upon arrival.
  • Managing incoming calls and addressing inquiries or redirecting them as necessary.
  • Processing home visit requests efficiently.
  • Scheduling appointments through our computer appointment system (EMIS).
  • Facilitating both new and follow-up appointments.
  • Performing general reception tasks.
  • Organizing medical records, correspondence, and test results.
  • Scanning documents into the clinical system according to practice protocols.
  • Sorting and distributing mail appropriately, ensuring confidentiality for private correspondence.
  • Utilizing the clinical system to retrieve test results.
  • Preparing computerized prescriptions in line with practice guidelines.
  • Assisting with the collection of data for QOF, audits, and enhanced services as required.
  • Using Accrx to communicate with patients regarding messages, reminders, and general information while maintaining confidentiality.
  • Ensuring treatment and consultation rooms are secure and prepared for use.
  • Maintaining cleanliness in the waiting area post-clinic.
  • Adhering to the Clean Desk policy and maintaining accurate records.
  • Coordinating hospital transport appointments.
  • Assisting in the upkeep of medical records.
  • Ensuring the reception area is well-stocked with necessary supplies.
  • Typing referral letters in the absence of the practice secretary.
  • Maintaining confidentiality at all times.
  • Providing relief cover for colleagues during absences.
  • Complying with existing procedures and health and safety regulations.
  • Acting as a keyholder for opening and securing the premises as needed.
  • Participating in relevant training as required for the role.
  • Reporting incidents and health hazards promptly.
  • Maintaining a clean and hygienic work environment in accordance with infection control standards.
  • Using Personal Protective Equipment (PPE) appropriately and ensuring compliance among staff and patients.
  • Adhering to the practice's complaints policy.

Qualifications

Essential:

  • Minimum of 4 GCSEs (A-C) or equivalent, including Maths and English Language, along with at least one year of relevant experience in an administrative or customer-facing role.
  • Proficiency in IT with at least six months of experience using Windows programs or equivalent.
  • Strong communication skills.
  • Understanding of the importance of discretion and confidentiality.
  • Polite and courteous demeanor towards patients and colleagues.
  • Ability to work collaboratively within a team and independently.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Flexible and adaptable approach to meet service needs.

Desirable:

  • AMSPAR Medical Receptionist certification.
  • Recent experience within a healthcare setting or GP practice.
  • Familiarity with the EMIS system.
