About the Role

The Research and Information (R&I) team includes the House of Commons Library and the Parliamentary Office for Science and Technology (POST). Our diverse team encompasses librarians, researchers, scientists, statisticians, communications experts, and data managers.

This is a remarkable opportunity to join the Library Resources Section (LRS), a dynamic and collaborative team within the Library Services directorate of R&I. The section oversees the House of Commons Library's online assets, a significant collection of books, pamphlets, official publications, serials, and newspapers, along with both hardcopy and digital parliamentary documents. The team also manages the Library’s digitization initiatives, conservation of library materials, and the Library catalog and discovery platform. We are seeking two Acquisition and Online Support Officers to assist in the procurement, payment, promotion, and inquiries related to these resources.

Key Responsibilities

Role 1

  • Manage inquiries received from users and suppliers through various channels, addressing questions regarding access, service availability, enhancements, new products, training, and copyright issues.
  • Document minutes during supplier meetings and maintain up-to-date contact information for suppliers.
  • Create promotional content for online resources and update content on the online resources Intranet, Library Catalogue, and SharePoint pages.
  • Stay informed about copyright legislation changes and liaise with external suppliers to secure copyright permissions for the House of Commons Library.
  • Collaborate effectively with information professionals across Research and Information and the House of Lords to enhance overall Library services.

Role 2

  • Handle inquiries from users and suppliers through face-to-face interactions, email, and telephone communications.
  • Assist with the ordering, renewal, and cancellation processes for books, corporate subscriptions, newspapers, pamphlets, serials, official publications, and low-cost online services, coordinating with relevant library colleagues.
  • Lead the annual renewals process for the Library Resources Section.
  • Process payments, verify invoice accuracy, and rectify financial discrepancies while adhering to House of Commons financial regulations and Key Performance Indicators using KOHA and HAIS systems.
  • Engage collaboratively with information professionals across Research and Information and the House of Lords, contributing to meetings to support overall Library services.

  • Proficiency in key IT applications, particularly MS Word, MS Excel, and SharePoint, with experience in using specialized databases or systems, and a willingness to enhance IT skills relevant to the role.
  • Commitment to process improvement and adaptability to change, with a readiness to take on new responsibilities to further team goals.
