Office Facilities Specialist

Facilities Coordinator
Kennedys is seeking a dedicated Facilities Coordinator to enhance our operational efficiency at the Chelmsford office. This role is essential in delivering exceptional support services that uphold our high standards.
Key Responsibilities:
- Fostering strong partnerships with onsite stakeholders and teams
- Maintaining constructive relationships with colleagues and business service teams
- Establishing and nurturing connections with external service providers
- Serving as the primary contact for office-related inquiries and issues
- Proactively addressing onsite challenges and ensuring swift resolutions
- Ensuring that office environments comply with standards for staff and clients
- Coordinating maintenance activities and managing permit issuance
- Assisting with reception duties and facilitating meetings
- Keeping accurate records and adhering to Service Level Agreements
- Managing inventory and procurement for supplies such as stationery
- Overseeing Facilities Management and property maintenance operations
- Handling mail processes, including internal distribution and archiving
- Tracking and processing invoices related to Facilities
- Providing administrative assistance to the Facilities team
Required Qualifications:
- Experience in Facilities management, particularly within professional services
- Strong skills in document management
- Excellent administrative and communication abilities
- Proactive approach to addressing user concerns
- Adaptable mindset towards stakeholder needs
- Willingness to travel between various offices
- Collaborative team player
