Role Purpose:
The primary responsibility of this position is to manage incoming calls and collaborate with the paralegal team to efficiently handle the high volume of inquiries, ensuring optimal client care.
You will also share front-of-house duties, welcoming clients and ensuring they receive a positive first impression of our firm.
Key Responsibilities:
- Client Reception:
Greet clients in the office and guide them to the appropriate departments as necessary. - Data Management:
Accurately log client information and case details into the firm's database, ensuring all records are current. - Inquiry Resolution:
Address client inquiries and concerns, providing information and guidance on the firm's services and procedures. Prioritize urgent calls for swift resolution. - Confidentiality:
Uphold the confidentiality of all client information and comply with the firm's data protection policies. - Office Operations:
Assist with the opening and closing of the office as required. - Administrative Assistance:
Support other departments within the firm as needed. - Mail Management:
Help with the sorting, scanning, and dispatching of incoming and outgoing mail. - Payment Processing:
Utilize the card payment system to process client payments both in-person and over the phone.
Perform additional duties as assigned by the Managing Partner or Central Services Manager.
Essential Skills:
- Telephone Proficiency:
Exhibit an excellent telephone manner, capable of managing a high volume of calls efficiently and accurately. - Technical Competence:
Proficient in Microsoft Office applications and quick to learn new software. - Flexibility:
Adaptable to changing circumstances and requirements.
