Are you adept at managing multiple tasks and maintaining composure in high-pressure situations? Adecco Housing & Property Services is on the lookout for a committed and proficient Facilities Operations Coordinator to join our housing division on a temporary basis.

This role presents a unique opportunity to oversee and direct the Facilities Services team, ensuring the provision of exceptional premises management solutions.

As the Facilities Operations Coordinator, you will be instrumental in upholding compliance with legal, regulatory, and contractual obligations, while also nurturing robust relationships with stakeholders.

Key Responsibilities:

  • Lead and coordinate the Facilities Services team, ensuring that performance benchmarks are achieved.
  • Foster collaborative partnerships to guarantee a seamless service experience for clients.
  • Act as the representative of the organization and its services in external engagements, enhancing its professional image.

Facilities Management:

  • Conduct essential asset evaluations, compliance assessments, and generate pertinent reports.
  • Oversee the execution of the established Life Cycle Programme.
  • Monitor Help-desk logs and address any performance discrepancies.
  • Provide assistance for the help-desk by recording inquiries and coordinating necessary repairs.
  • Manage the 24-hour emergency response service, ensuring effectiveness and cost-efficiency.
  • Supervise relevant Facilities Management budgets and investigate any unusual energy consumption.

Maintenance:

  • Ensure regular planned maintenance visits for all properties and timely resolution of repairs logged through the help-desk.
  • Conduct mandatory testing within required timelines and maintain accurate logbooks and records.
  • Ensure the completion of agreed actions from Fire Risk Assessments within specified timeframes.
  • Oversee inspections of vacant properties and necessary repairs and refurbishments.
  • Collaborate with contractors for planned maintenance and verify the quality of completed work.
  • Report recurring issues and concerns regarding service contractors to the Head of Operations.
  • Implement procedures to prevent cross-contamination across all services.
  • Contribute to Risk Assessment initiatives and execute appropriate actions.
  • Conduct Fire Drills and follow up on necessary actions.

Staff Management and Supervision:

  • Manage the relief staff schedule to ensure full staff availability in accordance with service agreements.
  • Effectively oversee staff performance and identify training and development needs.
  • Deliver basic refresher training and identify additional training requirements within the Facilities Management Team.

Additional Responsibilities:

  • Perform other duties as assigned by the Senior Management Team.
  • Demonstrated experience in delivering Facilities/Property Management Services.
  • Proven track record of working within stringent service agreements.
  • Strong IT skills, including proficiency in Microsoft Office.
  • Possession of a full driving license and access to a vehicle.
