About the Role

We are seeking a highly organized and detail-oriented Executive Support Specialist to join our team at Qerā Marketing. As the right-hand person to one of our owners and founders, you will be responsible for providing top-level administrative support and ensuring the smooth operation of our business.

Key Responsibilities
  • Email and Calendar Management: Organize and manage the executive's email inbox, calendar, and tasks to ensure timely responses and meetings.
  • Meeting Preparation: Assist the executive in preparing for meetings, including researching topics, drafting agendas, and preparing meeting materials.
  • Document Creation: Draft documents, reports, and presentations on behalf of the executive, ensuring accuracy and attention to detail.
  • Administrative Tasks: Perform various administrative tasks, such as data entry, filing, and record-keeping, to maintain the executive's office and ensure seamless operations.
  • Travel Coordination: Book and coordinate travel arrangements, including flights, hotels, and transportation, as needed.
  • Financial Management: Assist with financial tasks, such as expense tracking, invoicing, and budgeting, to ensure accurate and timely financial reporting.
  • Social Media Management: Manage social media accounts, create content, and engage with followers to maintain a strong online presence.
Requirements
  • Proficiency in Google Drive/Sheets/Docs: Strong working knowledge of Google Drive, Sheets, and Docs to manage documents, spreadsheets, and presentations.
  • Administrative Experience: Proven experience in managing multiple priorities, administrative coordination, and logistics to ensure seamless operations.
  • Organizational Skills: Excellent organizational skills, attention to detail, and ability to multitask with great follow-up skills.
  • Communication Skills: Strong written and verbal communication skills to effectively communicate with the executive, team members, and external stakeholders.
  • Technical Skills: Fast learner, tech-savvy, and ability to pivot and move quickly in a fast-paced environment.

Qerā Marketing is a multi 7-figure Marketing Agency that specializes in marketing for Direct-to-Consumer (DTC) e-commerce brands. We generate over $140 million a year for our clients and have worked with some of the biggest brands in the industry. As an Executive Support Specialist, you will have the opportunity to work closely with our founder and learn everything they know.

Location

We are based in Edinburgh, UK, and require the successful candidate to be based in or close to the city. You will be required to work 20% of the time in person (office and home) and 80% remotely.
