Job Description

Venesky-Brown's client, a public sector organisation, is seeking an Executive Assistant for a potential ongoing contract. This role will be hybrid working with 2-3 days in the Edinburgh office.

Key Responsibilities:

  • Diary Management: Support the General Counsel / Chief Risk Officer in delivering their objectives through effective time management, forward planning, and responding to evolving priorities.
  • Reporting and Scheduling: Assist the General Counsel in building departmental action plans and reporting schedules, and maintain and manage those.
  • Project Management: Assist the General Counsel with assigned projects.
  • Correspondence Handling: Assist with managing correspondence, drafting responses, and ensuring timely customer/stakeholder responses.
  • Travel and Expenses: Arrange travel and accommodation requirements for UK and Overseas visits, ensuring compliance with the organisation's policies and procedures. Track and process expenses claims incurred by the General Counsel and their department.
  • Administration: Maintain office systems, including data management and filing, in line with relevant policies, including GDPR.
  • Board and Company Secretarial Tasks: Assist with these tasks.
  • Compliance: Comply with all policies and deliver against relevant statutory, regulatory, supervisory, and legal obligations.

Essential Skills:

  • Proven experience supporting an Executive at Board or senior level, ideally in a fast-paced/agile environment.
  • Experience working with senior staff and key influencers.
  • Excellent attention to detail.
  • High-level interpersonal and organisational skills.
  • Experience handling sensitive and confidential information.
  • Self-motivated, with the ability to prioritise well, align competing priorities, and deliver to tight deadlines in a high-pressure environment.
  • Excellent knowledge of Microsoft Office.
  • Strong interpersonal and communication skills.
  • Strong team player with a can-do attitude and sense of humour.
  • Ability to work across teams and office functions.
  • Sound knowledge and understanding of strategic priorities and objectives.
  • Ability to build relationships and awareness across the office.
  • Demonstrate high-level customer service.
  • Willingness to accept responsibility and make decisions.
  • Ability to work independently, organising own workload and priorities without supervision.
  • Confident and capable dealing with senior stakeholders across the organisation.
