Role Responsibilities

We are seeking a Materials Management Coordinator to become part of our expanding specialized team. This position will primarily involve overseeing the management of materials and supplies.

The service plays a crucial role in the distribution of consumables, implanted devices, and consignment stock to various operational areas, including operating theatres and laboratories, within a 24/7 acute teaching hospital environment. This function is vital for ensuring that clinical services can deliver efficient and effective patient care.

We are looking for a dedicated, diligent team player to join our UEL Materials Management team. Strong IT and communication skills are essential, along with the ability to logically organize your workload. Reliability, the capacity to work under pressure, self-motivation, and the ability to prioritize tasks while identifying and escalating potential service risks are key attributes for this role.

About UHS Estates Limited

UHS Estates Limited (UEL) operates as a wholly owned subsidiary of the University Hospital Southampton NHS Foundation Trust (UHS). Our company is responsible for the design and construction of new facilities, as well as the ongoing provision of services, including estate maintenance, soft facilities management, and the management of equipment, consumables, and materials in support of one of England's largest acute teaching Trusts.

Key Duties

The successful candidate will be part of a small team responsible for ensuring that goods and materials are effectively managed, maintained, and available when needed. We are looking for individuals who excel in teamwork and possess strong communication skills, both within the team and with clinical users.

The ideal candidates will have a keen attention to detail and some experience with IT and data platforms utilized in the acute care sector.

The team will collaborate with third-party suppliers and Wessex NHS Procurement Limited to ensure product availability. They will assist and mentor team members, facilitating product familiarization and store organization, thereby contributing to operational efficiency and excellent patient care experiences. Additionally, the team will support the kitting aspect of the UEL-managed theatres service, which involves a pick-and-pack operation between the UEL warehouse and the onsite storerooms. Responsibilities will include placing electronic requisitions, conducting stock counts, and performing validation and correction tasks.

Additional Information

UHS Estates Limited Theatres operates a remote logistics facility, so the ability to occasionally work from this location is necessary.

Qualifications and Experience

Essential Requirements

  • Understanding of Materials Management principles and customer care skills, acquired through NVQ Level 3 or the Foundation Stage of CIPS or equivalent experience.

Desirable Qualifications

  • GCSEs or equivalent in English and Maths
  • ICDL or Essential IT Skills Programme
  • Working towards CIPS qualification

Relevant Experience

  • Ability to work independently without direct supervision to complete tasks related to assigned responsibilities.

Desirable Experience

  • Previous experience in a hospital or healthcare setting
  • Experience with NHS Procurement, Materials Management, or Distribution
  • Familiarity with NHS Purchase Order and Material Management systems
  • Knowledge of Trust SFI's
  • Understanding of Health and Safety regulations in the workplace
