Key Responsibilities:
- Provide a competent level of administrative support within the Continuing Healthcare Team, fostering excellent customer service and collaboration.
- Manage data entry and maintenance within relevant data systems, along with handling associated correspondence.
- Ensure a flexible approach to meet various deadlines and targets.
Administrative Duties:
- Serve as a primary contact for the department, addressing routine and specialized inquiries in a courteous manner.
- Input and maintain data on computerized systems, generating reports as needed.
- Schedule assessments and reviews for Nurse Assessors, coordinating with individuals, family members, and other professionals.
- Prepare and collate documentation necessary for service delivery.
- Assist in the administrative setup of care packages and related duties concerning Liberty Protection Safeguards.
- Organize departmental meetings, manage calendars, and take minutes as required.
- Address invoice queries promptly and efficiently.
- Adhere to service guidelines and established policies to ensure quality standards are met.
- Manage incoming and outgoing mail, ensuring compliance with information governance standards.
- Maintain office supply levels and escalate shortages to the line manager.
- Promote the department's image by ensuring all notices and materials are current and well-presented.
- Resolve complaints when possible, escalating issues as necessary, and ensure adherence to policy.
- Conduct word processing and document management tasks as required.
- Demonstrate office systems and processes to new team members.
- Engage in research and development activities as directed.
Qualifications:
- Proven experience in a busy administrative environment.
- Strong customer service skills and experience.
- Familiarity with computerized data systems.
- Understanding of confidentiality and data protection principles.
- Proficient in Microsoft Office applications with strong keyboard skills.
