Administration To have a thorough knowledge of all Organisation procedures. To work in accordance of written protocols Pulling/filing notes for surgeries and update as necessary Filing post in medical records Scanning and photocopy as required Process the registrations of new patients to the organisation Handle the deduction of records for patients leaving the organisation Process and manage the flow of PMAs, insurance reports through the organisation, including invoicing and payment Ensure that records are available in the instances of urgent consultation Retrieve and re-file records as requested, ensuring that strict alphabetical order is adhered to Ensure correspondence, reports, results etc. are filed in correct records Ensure records are kept neat and tidy and in good repair with all necessary information recorded correctly on the outer cover Provide administrative support to members of the primary health care team in the following areas ensuring appropriate practice records are kept up to date Pathology results Immunisation recalls (including childhood immunisations) Billing and invoices (payable to the Practice) Orders and payments (payable by the Practice) Management of appointment system Ensure total familiarity with all appointment systems including regular and incidental variations Book appointments and recalls ensuring sufficient information is recorded to enable retrieval of the medical record Reception Receiving patients consulting with members of Organisation team Handing completed repeat prescriptions to patient and checking names and address. Be able to cover all reception position as necessary Appointments Process appointment requests from patients by telephone and in person for non-GP requests.

Deal with visits requests Computer Registrations of new patients computer data entry and medical records. Process patients change of address computer data and medical records (have knowledge of Organisation area. Process repeat prescription request in accordance with Organisation guidelines. Telephone Have working knowledge of telephone system, during and after hours.

Other Tasks Clear rooms after surgeries Ensure building security have thorough knowledge of doors/windows/alarm. Make coffee for doctors Any other tasks allocated by managers Confidentiality: In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately In the performance of the duties outlined in this Job Description, the post-holder may have access to confidential information relating to patients and their carers, Organisation staff and other healthcare workers. They may also have access to information relating to the Organisation as a business organisation.
