Administrative Support Officer

Position Overview
The successful candidate will play a crucial role in delivering comprehensive administrative support to our dedicated team. This includes warmly welcoming all visitors and clients, ensuring the smooth operation of our electronic appointment system, and effectively managing the flow of clients to and from consultation areas.
Key Responsibilities
- Provide outstanding administrative services to the entire team.
- Greet visitors and clients with professionalism, ensuring a positive experience.
- Manage the electronic appointment system efficiently, monitoring client movements.
- Exhibit a professional telephone demeanor while addressing inquiries from healthcare professionals, clients, and the public, including handling complaints.
- Take and relay telephone messages, respond to emails, and maintain electronic records.
- Perform general office administration tasks, including scheduling assessments and treatment appointments through an electronic booking system.
- Demonstrate accurate typing skills for data entry and referral information from various sources.
- Maintain meticulous record-keeping practices while adhering to Data Protection and Confidentiality standards.
- Process and manage incoming and outgoing correspondence, maintain filing systems, and perform photocopying and other administrative duties as needed.

Candidate Profile
The ideal candidate will possess strong organizational skills and the ability to work collaboratively within a team. A conscientious approach and adherence to service policies and procedures are essential. Flexibility and the capacity to manage a busy office environment with a varied workload are also important. A good basic level of education, including GCSE (or equivalent) in English Language, is required. Experience with healthcare database systems is advantageous but not mandatory, as training will be provided.
