Bid Coordinator Job Description

**Job Summary:**

We are seeking a highly organized and detail-oriented Bid Coordinator to join our team at Bid Solutions. As a Bid Coordinator, you will play a critical role in the development and submission of high-quality bid responses.

Key Responsibilities:

  • **Bid Submission Coordination:**
    • Coordinate the bid submission process, ensuring timely and accurate delivery of bid responses.
    • Communicate with clients and stakeholders to understand and meet their requirements.
  • **Proposal Development:**
    • Work with the pre-contract team to create and design high-quality proposals, including bid submissions, interview presentations, and capability documents.
    • Ensure all proposals are aligned with the company's branding guidelines and meet the client's expectations.
  • **Bid Management:**
    • Log and track all bid opportunities, ensuring up-to-date information is maintained on internal systems.
    • Coordinate the retrieval and submission of bid documents through client portals.
  • **Administrative Support:**
    • Provide administrative support to the bid team, including proofreading and formatting final materials.
    • Update and maintain a library of company-standard PQQ and tender responses.
  • **Marketing Support:**
    • Assist in the development of content for internal and external communications, ensuring a clear and consistent brand identity.

Requirements:

  • **Experience:** Minimum of 2 years' experience in a similar role, preferably in the bid coordination or business development field.
  • **Skills:** Strong IT skills, with proficiency in Microsoft Office Suite and Adobe InDesign software. Excellent organizational and administrative skills, with attention to detail and ability to work under pressure.
  • **Personal Qualities:** Team player with effective communication skills, able to develop positive working relationships across functions and outside the company. Motivated and flexible individual, happy to initiate activities and follow instruction.
