About the Role

We are seeking a highly skilled and detail-oriented Accounts Payable Officer to join our finance team at Hales Group Limited. As a key member of our team, you will be responsible for managing the purchase ledger for our German entity, ensuring compliance with German regulations and providing support to other entities within the group.

Key Responsibilities
  • Invoice Processing: Process invoices through our accounting and invoice approval systems, ensuring accuracy and efficiency.
  • Accounts Payable Mailbox: Take ownership of the Accounts Payable Mailbox for the German entity, addressing and resolving supplier queries in a timely manner.
  • Compliance and Risk Management: Ensure compliance in the posting and transaction of German invoices, including customs invoices, pro-forma invoices, and deposits, while minimizing risk.
  • Payment Coordination: Coordinate timely payment runs to ensure deadlines are met, maintaining a high level of accuracy and attention to detail.
  • Vendor Reconciliation: Reconcile vendor accounts regularly, identifying and resolving any discrepancies in a timely manner.
  • VAT Support: Support monthly VAT returns for Germany, ensuring accuracy and compliance with regulations.
  • Expense Processing: Process personal expenses and credit card statements, maintaining a high level of accuracy and attention to detail.
  • Team Support: Assist the wider AP team across other entities when needed, providing support and guidance as required.
  • Audit Support: Aid in audits by providing necessary documentation, ensuring compliance with regulations and minimizing risk.
  • End-of-Month Procedures: Support end-of-month procedures to ensure accurate accruals, maintaining a high level of accuracy and attention to detail.
  • Analysis and Reporting: Provide relevant Accounts Payable analysis as required, identifying trends and areas for improvement.
  • Process Improvement: Continuously challenge existing processes and drive improvements, ensuring efficiency and effectiveness.
Requirements
  • Experience: At least 3 years of experience in transactional finance within medium to large organizations.
  • Knowledge: Advanced knowledge of Accounts Payable functions and ERP systems, preferably Microsoft Business Central (Microsoft Dynamics) or Navision.
  • German Entity Experience: Proven experience handling invoices for a German-based entity or branch.
  • German Regulations: Strong understanding of German regulations and compliance.
  • Relationship Building: Excellent relationship-building skills with both internal and external stakeholders.
  • Data Manipulation: Strong data manipulation and Excel skills, with exceptional attention to detail.
  • Pressure Management: Ability to perform under pressure with a proactive attitude.
  • Industry Experience: Experience in the construction industry is advantageous.
  • Languages: Multilingual skills are a plus, with German language proficiency being highly desirable.
