This role provides administrative and logistical support for the organization of DACH marketing and sales events in coordination with local marketing and events team. Additionally, this position will aid in the creation of events collaterals and organize referral management activities, reporting to the Director Marketing - DACH.
Key Responsibilities- Coordinate and execute truck events for the DACH region, ensuring seamless logistics and compliance.
- Plan and manage metropolitan region activities driven by sales, including location, accommodation, system, and speakers.
- Organize Freiburg facility meetings and events, providing exceptional support to the local team.
- Collaborate with the Marketing Event Coordinator to organize tradeshows, ensuring a high level of quality and professionalism.
- Coordinate translation verification with the sales team, ensuring accurate and timely communication.
- Route new collaterals in Agile, ensuring quick turnaround times and efficient sales event support.
- Support the creation of new brochures, flyers, and information material, aligning with the company's branding and messaging.
- Update the truck and event calendar for the DACH region, ensuring up-to-date information and accurate planning.
- Manage and coordinate the floating equipment pool for the DACH region, ensuring efficient use and maintenance.
- Further develop and optimize floating simulators booking coordination for DACH markets, enhancing the customer experience.
- Coordinate demo products, ensuring seamless logistics and customer satisfaction.
- Monitor budget and financial follow-up for events, aligning with the Marketing Event Coordinator and ensuring fiscal responsibility.
- Create contracts, new vendors, process Purchase Orders (POs), and invoices for events, obtaining manager approval and signatures.
- Prepare and send speaker fees agreements, organizing travel and accommodation as needed.
- Support monitoring and long-term planning of events, ensuring a high level of organization and efficiency.
- Coordinate educational sponsorships for the Medical Affairs Director, aligning with the company's strategic objectives.
- Apprenticeship or bachelor's degree or equivalent experience in event management, marketing, preferably acquired in an international, fast-paced, and changing environment.
- 1 year of work experience in events management and/or marketing.
- Languages (spoken and written): German native speaker, fluency in English required.
- Good interpersonal, verbal, and written skills, coupled with the ability to interact with various departments and customers (marketing, sales, market access, and healthcare professionals).
- Strong organizational skills and ability to work in a team environment, providing cross-functional support.
- A keen ability to coordinate projects, organizing, prioritizing, and coping with various tasks.
- Flexible and reliable, with strong attention to detail.
- Good knowledge of the MS Office product suite.
- Travel up to 10% - 15% required, mostly in the DACH region (including weekends).
- This position is based in Freiburg (Germany).
