Position Overview

An exceptional opportunity has emerged within the Oncology Department at Nottingham University Hospitals NHS Trust for an Administrative Coordinator to assist with clerical and administrative responsibilities.

This role entails a flexible work schedule, with hours to be determined.

Key Responsibilities

The selected candidate will join the Secretarial Team within the Cancer and Associated Services Directorate, providing essential administrative support.

The responsibilities include:

  • Modifying patient clinic correspondence and ensuring timely distribution to patients and general practitioners.
  • Generating clinic rosters from the hospital management system.
  • Performing photocopying and scanning tasks as needed.
  • Addressing inquiries from staff and the public, either via phone or in person, and directing them to appropriate resources when necessary.
  • Accurately recording and updating patient data in compliance with reporting standards.
  • Staying informed about available peripheral services, including transport and interpreting services, to assist patients effectively.
  • Managing incoming mail and ensuring timely distribution.
  • Utilizing hospital IT systems competently and participating in training to enhance personal skills relevant to departmental needs.
  • Maintaining a clean and safe workspace, promptly reporting any hazards or issues.
  • Exhibiting a professional demeanor and appropriate attire while on duty.
  • Performing additional duties as required.

Candidate Profile

Qualifications

Essential:

  • GCSE/GCE/O level qualifications, including English and Mathematics or equivalent.

Desirable:

  • QCF/NVQ in Customer Service or Business Administration.

Experience

Essential:

  • Experience in general office administration.
  • Ability to work collaboratively within a team and demonstrate initiative.

Desirable:

  • Prior experience within the NHS.
  • Familiarity with hospital IT systems such as Medway PAS and Unity.

Communication Skills

Essential:

  • Ability to communicate clearly and effectively.
  • Capability to engage with a diverse range of patients and staff.

Analytical and Judgement Skills

Essential:

  • Understanding the significance of confidentiality and adherence to relevant processes.
  • Ability to operate in accordance with Trust Policies.
  • Capability to exercise judgement and seek guidance when addressing queries.
