About the Role

We are seeking a highly skilled and experienced Administrative Assistant to provide confidential administrative and secretarial support to our Executive Group and Senior Leadership Team.

Key Responsibilities
  • Provide professional secretarial services, including word processing and advanced typing/keyboard skills to produce correspondence, reports, presentations, and other documents.
  • Develop and manage organisational calendars for Partnership and other meetings, ensuring accessible venues, catering, and other support.
  • Take minutes as required on a regular basis for multiple meetings, producing and circulating minutes, and following up on action points agreed during meetings.
  • Assist in the management of multiple senior managers' complex diaries/electronic schedules on their behalf, operating a robust bring forward system.
  • Initial drafting and typing of correspondence and documents in advance where appropriate.
  • Produce reports/papers and attachments formatted to agreed standards.
  • Contribute to the maintenance of a central filing system for Partnership and Executive Meeting papers on SharePoint, ensuring partners can access relevant information.
  • Provide other administrative support as required to the Management team.
  • Maintain accurate annual leave and sickness records for the SLT, noting annual leave schedules on SharePoint for information of availability of SLT.
  • Support management team in organising training and practice events and supporting the planning and management of staff wellbeing initiatives.
  • Support management team in organising team appraisals for their team and keeping the appraisal spreadsheet up to date, and chasing action where appraisals are due/overdue.
  • Assist in the preparation of presentations, papers, and letters, using the full repertoire of Microsoft applications/desktop publishing.
  • Support the Patient Engagement manager in the management of patient complaints, liaising with managers to ensure responses are received on time.
  • Supporting with preparation and circulation of weekly positive staff update on behalf of the Patient Engagement Manager.
