About the Role

We are seeking a highly skilled and organized Reception and Administrative Support to join our team at South Grange Medical Centre. As a key member of our administrative team, you will be responsible for providing exceptional customer service to patients, colleagues, and external agencies.

Key Responsibilities

  • Maintain and monitor the practice appointment system, ensuring efficient and effective scheduling.
  • Process personal, telephone, and e-requests for appointments, providing clear and concise information to patients.
  • Answer incoming phone calls, transferring calls or dealing with callers' requests appropriately, demonstrating excellent communication skills.
  • Signpost patients to the correct service, providing accurate and timely information.
  • Process incoming and outgoing mail, ensuring secure and confidential handling.
  • Initiate contact with and respond to requests from patients, team members, and external agencies, maintaining a professional and courteous demeanor.
  • Process calling letters as requested, adhering to current policy and procedures.
  • Process all DNA letters in accordance with current policy, ensuring accurate and timely handling.
  • Read code data on SystmOne, maintaining accurate and up-to-date records.
  • Photocopy documentation as required, ensuring secure and confidential handling.
  • File and store records as required, maintaining a clean and organized workspace.
  • Data entry of new and temporary registrations and relevant patient information as required, ensuring accuracy and attention to detail.
  • Input data into patients' healthcare records as necessary, maintaining accurate and up-to-date information.
  • Scan patient-related documentation and attach scanned documents to patients' healthcare records, ensuring secure and confidential handling.
  • Manage all queries, including administrative queries, in an efficient and effective manner, providing clear and concise information to patients and colleagues.
  • Carry out system searches as requested, maintaining accurate and up-to-date records.
  • Maintain a clean, tidy, and effective working area at all times, adhering to health and safety standards.
  • Monitor and maintain the reception area and notice boards, ensuring a welcoming and professional environment.
  • Support all clinical staff with general tasks as requested, demonstrating flexibility and a willingness to assist.

Person Specification

  • Excellent customer service skills, with the ability to work in a fast-paced environment.
  • Ability to work in a team, with a focus on collaboration and communication.
  • Confidentiality, with the ability to maintain secure and confidential handling of patient information.
  • Desirable: General Practice experience, SystmOne experience, and basic IT skills.
