About the Role

This is an exciting opportunity to join our team as an Administrator, supporting the Therapy and Nursing teams within the Royal Devon and Exeter NHS Foundation Trust. As an Administrator, you will play a vital role in ensuring the smooth operation of our services, providing administrative support to our clinical teams and contributing to the delivery of high-quality patient care.

Key Responsibilities
  • Provide administrative support to the Therapy and Nursing teams, including managing rotas, communicating with team leads, and escalating urgent patient information.
  • Use the Health Roster system to add and update clinical staff rotas, ensuring accurate and up-to-date information.
  • Communicate effectively with the Therapy and Nursing Leads to ensure seamless communication and collaboration.
  • Scan patient notes and upload them into the EPIC System, maintaining accurate and secure records.
  • Be the first point of contact for incoming phone calls, providing excellent customer service and ensuring that patient queries are addressed promptly.
  • Reschedule patient appointments as required, ensuring that patients receive timely and effective care.
  • Assist with referrals, inputting information onto the EPIC system and ensuring that all necessary documentation is completed.
  • Attend team meetings, prepare agendas, and type up minutes, ensuring that all necessary information is recorded and shared.
  • Order and manage stores, ensuring that all necessary equipment and supplies are available to support clinical teams.
  • Travel between sites to support teams, deliver equipment, and ensure that all necessary tasks are completed.
  • Ensure that all medical equipment is annually inspected and that all necessary paperwork and spreadsheets are up-to-date.
  • Maintain and update Excel spreadsheets with equipment asset IDs and locations, ensuring accurate and secure records.
  • Maintain records of IT equipment within the teams, ensuring that all necessary information is recorded and shared.
  • Support the Business Support team with medical clinics, ensuring that all necessary tasks are completed.
  • Participate in the Business Support walkaround for Health and Safety and Fire, identifying and escalating any issues found.
